Working across companies
How one Leavely account works in more than one company, what each company keeps separate, and how to switch, add and leave companies.
One Leavely account can be a member of more than one company. You sign in once, and you move between your companies in the sidebar.
How it works
What belongs to your account
Your name, your photo, your email address and your password belong to your account. They are the same in every company. You change them in My Profile.
What belongs to each company
Each company keeps its own records for you. A change in one company does not change the others.
| Each company has its own | Who or what sets it |
|---|---|
| Your role: Owner, Admin or Employee | The Owner or Admin who adds you. Only the Owner can change it later. See Roles and approval authority. |
| Your Department and your Holiday Location | An Owner or Admin, in Employees |
| Your Leave Balances and your Leave Requests | The Allowance Policies and the Leave Calendars of the company |
| The Plan and its Seats | The Owner. See Plans and seats. |
For example, a paid Plan in one company does not apply to your other companies. You use one Seat in each company that has added you, from the moment it adds you. See Seats.
Join another company
When an Owner or Admin of another company adds you with the email address of your account, you get an invitation. When you accept it, the company joins your account. You do not get a second account, and you do not set a new password. See Invitations.
The company shows in your list only after you join. If you decline the invitation, your account and your other companies do not change.
Switch between companies
Open the company switcher
Select the company name at the top of the sidebar. The menu Your companies lists each company that you are a member of. A check mark shows the company that is open.
Select a company
Select another company. Leavely opens its Wall Chart.
When you sign in, Leavely opens the first company that you were added to. When you sign in from an invitation link, Leavely opens the invitation.
The Companies page
To see all your companies, open the company switcher and select Manage companies. Every member can open this page. It shows each company with your role in it. When you are an Owner or Admin of a company, the page also shows the Plan of that company. Select a company to open it.
From this page, you can add a company, leave a company, or, as the Owner, delete a company.
Add a company
Any member can add a company. You become the Owner of the new company.
Open the form
On the Companies page, select Add Company.
Enter the details
Type the Company name, with at least 2 characters, and the Annual leave allowance (days) that employees get each year, at least 1 day. To let unused days roll into the next leave year, turn on Allow Carry-Over and set its limits. See Carry-over.
Create the company
Select Create Company. Leavely shows "Company created", and the company shows in your list. Select it to open it.
A company that you add here uses the Calendar Leave Year Type, January 1 to December 31. You cannot change this later. See Leave year and leave calendars.
Leavely also sets up the company for you: the Annual Leave Allowance Type, the default Leave Types, and the Leave Calendars of this year and the next. Then set up the rest in Settings. See Company.
Your Start Date in the new company is today, so your Annual Leave for this leave year counts from today. To change it, edit your own details in Employees.
Leave a company
An Admin or Employee can leave a company. The Owner cannot leave. The Owner deletes the company instead. See Delete the company.
You cannot undo this. To join the company again, you need a new invitation.
Open another company
You cannot leave the company that is open. Use the company switcher to open another company first.
Select leave
On the Companies page, in the row of the company, select the leave button. The dialog Leave (company name)? opens.
Confirm
Select Leave Company. Leavely shows "Left (company name)", and the company leaves your list.
When you leave a company:
- You can no longer open the company.
- Leavely deletes your employee details, your Leave Requests and your Leave Balances in that company.
- Your Seat in that company becomes free.
- Your account and your other companies do not change.
You can also lose access to a company when an Owner or Admin removes you. See Remove an employee. To delete your account and your data in every company, see Delete your account.
Worked example
John Doe has one account. He is the Owner of Company A and an Employee in Company B. The companies and their data are examples.
| Situation | What John sees | Why |
|---|---|---|
| He opens Company A | Settings and the Plan of Company A | He is the Owner of Company A |
| He opens Company B | No Settings, and no Plan | He is an Employee in Company B |
| He changes his photo in My Profile | The new photo in both companies | The photo belongs to his account |
| An Admin of Company B changes his Holiday Location | New public holidays in Company B only | The Holiday Location belongs to each company |
| He leaves Company B | Company A only. His Leave Requests in Company B are gone | Leaving deletes his data in that company only |
What happens when
You belong to only one company
You cannot leave it, and the Owner cannot delete it. The company is always the open one.
You already own five companies
You cannot add another company. Leavely shows "You can own a maximum of 5 companies." Companies in which you are an Admin or Employee do not count.
You leave a company, and later want to come back
Ask an Owner or Admin of that company to add you again. Your earlier Leave Requests and Leave Balances do not come back.
