Plans and seats

A Plan sets two things for a company: its Seat Cap, the maximum number of Seats, and whether Reports is open.

How it works

The plans

Each company is on one of three Plans. Each Plan has a flat monthly price for the company. The price does not change with the number of employees.

You pay the amount that the checkout shows. See Manage your subscription.

Reports is the only feature that needs a paid Plan. On the Free Plan, the Owner, the Admins and the employees can use all other parts of Leavely.

For support, select the question mark (Get Help) at the top of every page. It opens an email to Leavely Support. A company on the Business Plan gets priority email support.

A Plan belongs to a company

Every member of a company shares its Plan. A Plan does not belong to a person. When you are a member of two companies, each company has its own Plan, and a paid Plan in one company does not apply to the other. See Working across companies.

Only the Owner can change the Plan. The Owner and the Admins see the Plan next to the company on the Companies page. See The Companies page. Employees do not see the Plan. For what each role can do, see Roles and approval authority.

Every new company starts on the Free Plan, also when you pay for another company.

Seats

Each employee uses one Seat from the moment an Owner or Admin adds them, also before they join. The Owner uses a Seat too. An invitation does not use a Seat of its own. For the full rules, see Seats and Invitations.

The Seat Cap is the maximum number of Seats. It is not a minimum. You can choose any paid Plan for any number of employees, for example Business for a company of 10. Leavely does not move your company to another Plan when the number of employees changes.

On the Free Plan, the Owner sees a Seats card in the sidebar. It shows the Seats in use, the Seat Cap and how many Seats are left. Select View plans to open the Plans page.

On the Pro and Business Plans, and for Admins on any Plan, no Seats card shows. To find the Seats in use, count the people in Employees. Include hidden employees and people who have not joined yet.

Worked example

A company has 28 Seats in use on the Pro Plan. The numbers are an example; the Seat Caps are the real ones.

What happens when

All Seats are in use

When the number of Seats in use reaches the Seat Cap, Add Employee opens Grow Your Team instead of the form:

• The Owner can select View plans to open the Plans page, or Not now.
• An Admin sees "Your account owner can unlock this for your team." Select Got it to close it.

The employees you already have do not change. You can still edit, hide and remove employees, and resend invitations. To add an employee, remove one or move to a Plan with a higher Seat Cap. On the Free Plan, the Seats card shows "No seats left. Remove someone or view plans."

A company moves to a Plan with a lower Seat Cap

For example, a company with 40 Seats in use moves from Business to Pro. Leavely keeps every employee, and nobody loses access. The company cannot add employees until fewer Seats are in use than the new Seat Cap. In this example, that is 29 Seats or fewer.

When the company moves to the Free Plan, Reports also closes. See If your plan does not include Reports.

The subscription is cancelled

When the Owner cancels the subscription, the company stays on its paid Plan until the end of the paid period. After that, the company moves to the Free Plan. Its employees, Leave Requests and settings stay. The rules for a lower Seat Cap above apply, and Reports closes.

When you move to a paid Plan again, Reports shows your earlier Leave Calendars too.

The company is deleted

When the Owner deletes a company with a paid Plan, Leavely cancels its subscription at once. See Delete the company.

You need more than 100 Seats

Business is the largest Plan. Its Seat Cap is 100.
